Minutes of the 6th Annual General Meeting held on 27 March 2021 at 2pm via Zoom

The Secretary explained that it was necessary to elect a Chairman for the duration of the meeting and that those Members present needed to agree how voting should be done during the meeting. It was agreed that a show of hands would be sufficient. Sue Barrett volunteered to Chair the meeting and was duly elected for the duration of the meeting.
As more than 4 people were present via Zoom links, the meeting was declared quorate.
2021/1 Apologies for Absence

2021/2 Minutes of the 5th AGM held on 14 March 2020
The Minutes of the 5th AGM held on 14 March 2020 had been circulated with the Meeting Papers – no amendments had been received. Alistair Hodgson proposed that the Minutes be approved, Jayne Glover seconded this and the motion was unanimously carried. The Meeting authorised the Chairman of the next physical meeting of the Association to sign the Minutes.
2021/3 Committee Report & Accounts for 2020
The Secretary confirmed that all Members of the Association had been sent a copy of the 2020 Report on the Association, which gave details of the membership, events, etc. for the year. A copy is appended to these Minutes.
Bob Cotter asked why there had been such a drop in numbers. The Secretary replied that normally quite a few people paid their membership fees at the first Moorers’ Breakfast of the year and that the Association tended to pick up new members at social events throughout the year. Some 2019 members had let their membership lapse during 2020 but were rejoining in 2021. In her experience, it was not typical to see that many members leave and the Secretary thought it was a function of not having held events and not being around the marina to remind people to pay their subs. In addition, a higher than usual number of people had sold their boats, possibly to take advantage of the good prices achievable due to Covid.
David Cary proposed that the Report and Accounts be accepted, Mike Tinling seconded the motion and the meeting unanimously approved the 2020 Report & Accounts.
Alistair Hodgson thanked the Secretary for the detailed and comprehensive report, saying that it was appreciated how much time and effort had gone into it.
2021/4 2022 Subscriptions
The Committee recommended to the Meeting that the subscription for 2022 for Full and Social Members should continue at the rate of £5 per member for the full, or part, calendar year. Pam Smith proposed the motion, Georgina Hodgson seconded it and it was carried unanimously by the Meeting.
2021/5 Election of Chairman
There were no volunteers for the role of Chairman at this point in the meeting. However, during discussions surrounding the election of a Treasurer (see 2021/07 below) Sue Barrett volunteered to be Chairman. She was proposed by Georgina Hodgson, seconded by Tom Smith and unanimously approved by the meeting.
2021/6 Election of Secretary
Gillian Chapple said that she was prepared to stand as Secretary for the next year. She was nominated by Robbie Barrett and seconded by Jayne Glover. There were no other nominations and Gillian Chapple was elected Secretary.
2021/7 Election of Treasurer
There were no volunteers to take over the post of Treasurer. Gillian Chapple said she was willing to continue as Treasurer as well as Secretary if there was a Chairman. She said that there was not much for the Chairman to do – occasionally they might have to talk with the Marina on matters raised by the membership, they would have to run Committee meetings and, in the event of a voting tie, the Chairman had the casting vote.
Following Sue Barrett’s election as Chairman (see 2021/05 above), Gillian Chapple confirmed that she was happy to continue as Treasurer as well as Secretary as there is a lot of overlap in the roles. Robbie Barrett proposed that she be elected Treasurer, Alistair Hodgson seconded it and Gillian Chapple was unanimously elected Treasurer.
2021/8 Election of Committee Members
Robbie Barrett, Jayne Glover, Alistair Hodgson and Georgina Hodgson had all indicated their willingness to continue as Committee Members.
The Secretary explained that, in normal times, the general aim was to have 3 meetings a year, all of which were tied to event dates. Being on the Committee normally entailed helping out a bit at events and the existing Committee Members confirmed that the role was not that onerous. The Constitution requires there to be a minimum of 4 Committee Members in addition to the elected officers. Karin Cotter and Dave Glover volunteered to join the Committee.
David Cary proposed that Robbie Barrett, Karin Cotter, Dave Glover, Jayne Glover, Alistair Hodgson and Georgina Hodgson be elected as Committee Members, Bob Cotter seconded this and they were all unanimously elected as Committee Members.
There being no further business, the Chairman drew the meeting to a close. She invited all present to remain in the Zoom meeting for an open Committee Meeting.
